The Executive Assistant & Operations Specialist at Spaceflux plays a vital role in ensuring smooth day-to-day operations by providing high-level administrative support to the executive team, as well as handling accounting tasks. This individual will manage schedules, coordinate meetings, prepare reports, assist with various projects, maintain financial records, and ensure accurate bookkeeping, all while maintaining a high degree of professionalism, confidentiality, and efficiency.
- Assist the CEO and act as a project manager to support company growth.
- Help in organizing and managing the CEO’s emails and calendar.
- Establish operational processes and enforce governance, ensuring everything is in place.
- Handle project management duties, including tracking progress, reporting, and following up on action items.
- Take part in financial matters such as bookkeeping, invoicing, and liaising with the CFO.
- Manage contractual agreements and maintain communication with legal counsel.
- Organize logistics for conferences and events, including booth setup and material management.
- Coordinate travel arrangements for the CEO and potentially other staff members.
- Help to manage network installation processes for space sensors globally.
- Potentially represent the company at conferences or meetings, taking notes and keeping track of developments.
- Bachelor’s degree in Business Administration, Management, or a related field.
- Proven experience as an Executive Assistant, Project Manager, or similar role, ideally within a technology or aerospace-related industry.
- Proficiency with finance and accounting processes, including bookkeeping and invoicing.
- Strong organizational and project management skills with an ability to prioritize tasks and manage time efficiently.
- Exceptional communication skills, both written and verbal; comfortable serving as a company representative.
- High proficiency in Microsoft Office Suite, project management software, and other organizational tools.
- Detail-oriented with a strong focus on accuracy and the ability to troubleshoot and solve problems proactively.
- Discretion and confidentiality with sensitive company information.
